Platform Users vs. End Clients

AI Canadian Solutions processes personal information on behalf of its Customers as a service provider. Customers remain responsible for obtaining consent and providing notices to their own clients when using the platform.

1. Scope of This Policy

This Privacy Policy applies to our corporate website, software platforms, and AI-powered services (collectively, the “Platform”). It governs how we collect, use, store, and protect information when businesses (“Customers”) and their end users (“End Users”) interact with the Platform.

2. Controller vs. Processor Roles

In most cases, AI Canadian Solutions acts as a data processor, processing information on behalf of Customers. Customers remain the data controller for all personal information collected from their clients, leads, patients, or users.

Customers are solely responsible for:

• Obtaining lawful consent from End Users
• Determining what data is collected and why
• Ensuring compliance with industry-specific regulations

3. Information We Collect

We may collect limited information such as:

• Account details (name, email, organization)
• Billing and subscription information
• System logs and usage metadata

We do not own, control, or verify customer-uploaded content, including documents, messages, recordings, or AI inputs.

4. AI Data Handling

AI-generated outputs are produced based on Customer-provided inputs. No customer data is used to train public AI models.

AI Canadian Solutions does not guarantee the accuracy, legality, or suitability of AI outputs. Customers are responsible for reviewing all AI-generated content before use.

5. Data Storage & Infrastructure

Platform data is primarily hosted on secure cloud infrastructure, including Canadian-based data centers where available. Some services (e.g., email, telephony, domain registration) may involve infrastructure located outside Canada.

We rely on reputable third-party providers such as cloud hosting, messaging, and communications platforms. Each provider maintains its own privacy and security practices.

6. Security Measures

We implement reasonable administrative, technical, and organizational safeguards, including:

• Role-based access controls
• Encrypted data transmission
• Restricted internal access
• Audit-ready logging

Despite safeguards, no system is completely secure. Customers acknowledge and accept inherent risks associated with digital platforms.

7. Data Retention & Deletion

Data retention is configurable by Customers. Upon account termination, data may be deleted or retained according to contractual or legal requirements.

8. Third-Party Services

The Platform may integrate with third-party services (e.g., scheduling, messaging, voice, analytics). AI Canadian Solutions is not responsible for the privacy practices of external services.

9. Limitation of Liability

To the fullest extent permitted by law, AI Canadian Solutions disclaims responsibility for:

• Customer misuse of the Platform
• Unlawful data collection by Customers
• Decisions made based on AI outputs
• Data breaches caused by Customer credentials or third-party services

This Platform is designed with awareness of Canadian privacy frameworks, including:

• PHIPA (Ontario)

11. Changes to This Policy

We may update this Privacy Policy periodically. Continued use of the Platform constitutes acceptance of the updated policy.
